SEARCH ROOM RULES & GUIDELINES |

1. The Search Room is open to researchers from 8:00am to 11:45am and 1:00pm to 4:30pm from Monday to Friday, and also on Saturdays from 8:00am to 11:30am upon request but closed on Sundays and public holidays. 2. Every person of mature age is allowed to conduct research in the National Archives of Malawi under prescribed conditions. 3. On first admission, all researchers will be required to sign a declaration with the National Archives. The declaration is an acceptance of, and agreement to abide by the Search Room rules. 4. Every researcher will be required to sign a Visitors’ Book each time they come to use the Search Room indicating their full names and contact address. 5. Umbrellas, briefcases, bundles and bags are not allowed into the Search Room. These must be left at the Reception Area. Ladies small bags may be allowed in at the discretion of the Search Room Attendant. 6. All finding aids (inventories, catalogues, lists, indexes, guides, etc.) in the Search Room are available to researchers for consultation with no restrictions. 7. Any document from the National Archives of Malawi will not be lent out to researchers for home use. Researchers are not allowed into the repositories unless the Director has granted special permission for a guided tour. 8. A duplicate Request for Documents form must be completed for each item required and be handed to an Attendant on duty who will retrieve the document (s) for the researcher. 9. Researchers may consult three items at a time, although up to twelve may be ordered. The Search Room Attendant may withhold to issue more than three documents at his/ her discretion. 10. No item or document may be removed from the Search Room, and items requested are not transferable. Researchers are not allowed to use their friends to browse through the files/ documents on their behalf. 11. All documents must be returned to the Search Room Attendant who will check them to ensure that they have been returned in good condition, and are the correct ones before the researcher is allowed to leave the Search Room. 12. The use of ink, ball pens and felt pens is not allowed. Only pencils may be used. Typewriters or tape recorders are not allowed in the Search Room. However a room for the use of such equipment may be provided elsewhere within the premises. 13. All documents must be used with care. No dog-earing or folding of some kind is allowed. Researchers must not lean or rest papers, notebooks or any other writing materials on a document they are reading. Tracing may be carried out only with the permission of the Search Room Attendant, and only a transparent sheet of paper must be used. 14. Smoking is not allowed in the Search Room. Researchers may eat, drink and smoke while outside the Search Room. 15. Silence in the Search Room must be observed at all times. No noise in and around the Search Room is allowed. All researchers are requested to switch off cell phones whenever there are other customers in the Search Room. 16. Permission to photocopy, photograph or scan any document must first be obtained from the Director. Photocopying services are provided within the premises at a small fee as determined from time to time. 17. No document will be produced or photocopies made for the researcher within half an hour prior to closing time. 18. Documents required for Saturday morning must be ordered on Friday by 3:00pm. Only twelve (12) items may be ordered. 19. Every researcher who produces or publishes a work resulting from consultation of documents from the National Archives of Malawi is obliged to deposit a copy of the same with the Director of Archives for official custody. 20. The Director of the National Archives of Malawi reserves the right to withhold permission for a researcher to consult any or all documents from the archives, and is empowered to exclude from the National Archives any researcher who does not comply with these regulations. |
