Management Services Unit is one of the most important components in the National
Archives of Malawi. It is responsible for the promotion of sound and
proper records
management programmes in the Government as well as private sectors. The Section has control
over the creation, maintenance and disposal of records. It is also
responsible for the establishment of standards for records
management in respect of creation, classification, maintenance, retrieval,
retirement and final disposal of semi-current records, and also promotes
the adoption of approved standards on records management by various
records creating agencies. Currently the Records Management Unit operates through three
Regional Centres, which are based in Zomba,
Lilongwe and Mzuzu. |

Records Transfers and Records Finding Aids |
To provide custodial services for semi-current records whereby government records and those belonging to private institutions and individuals are collected and transferred to the National Archives, organized and stored in low-cost accommodation with high-density steel shelving. |

| To provide reference services to semi-current records. Depositing institutions are accorded reference service to their records. No other person or institution is allowed access unless there is consent by the depositing agency. |
To provide advisory services on proper records management practices. There are various levels of advisory services that are carried out by the Records Management Section. However the main component of advisory services at the moment includes consultancy and on-the-job coaching. |

To
conduct training for records management personnel and other
interested parties on the principles of proper records management
practices. There are three categories of training programme: - a)
Two weeks Beginners
Course b) One week Refresher Course. The duration of one week also applies to the records management workshops that the National Archives of Malawi organizes from time to time. c)
Four weeks Training of Trainers Programme. |

| Specific Records Retention and Disposal Instructions | Carry out records inspection programmes in various institutions to assess the condition and value of records and provide on-the-job coaching with a view to promoting standards of proper records management practices. | ||||||||
|
When records have been transferred to a Records Centre, there are a number of processes that are carried out in order to facilitate quick access and retrieval. Some of the records are eliminated as soon as their value to the creating agencies has ceased while others are kept for longer periods after which they are reviewed to determine their retention value. Records of permanent value are transferred into another section known as the Public Archives where they become open for public consultation. |
